Terms and Conditions
The terms that apply when you book a course with us, and what each of us can expect from the other.

1. Who we are
These terms are between you and Hola Spanish Academy Ltd (“we”, “us” or “our”), a company registered in England and Wales, company number 16654062, whose registered office is Forma House, 40 Bowling Green Lane, London EC1R 0NE. Our lessons take place at 2nd floor, 3 Duckett’s Wharf, South Street, Bishop’s Stortford, Hertfordshire CM23 3AR, or online over video. You can reach us at hola@holasa.co.uk or on 07307 120259.
2. These terms
These terms apply when you enrol on a course or book lessons with us through our website, by email, by phone or in person. By enrolling you agree to them. Please read them together with our Privacy Policy and Cookie Policy, which explain how we look after your information.
We may update these terms from time to time. The version in force is the one on our website on the day you enrol, and it applies to that enrolment until it ends.
3. Enrolling
You enrol through the Secure Your Slot page on our website, where you choose how you would like to learn, the course and, where a course offers more than one, the plan. You give us your name, email address and phone number, and we send you a reference that identifies your enrolment.
An adult enrols. Our lessons are for students aged 12 and over. A student under 18 is enrolled by a parent or guardian, who is our contact for lessons and payments and who agrees to these terms on the student’s behalf.
Registering your interest through the Register Your Interest page does not hold a place. A place is held only through Secure Your Slot, as set out in sections 4 and 5.
4. The registration fee (in-person courses)
Every in-person course carries a one-off registration fee of £49, paid once when you join. Online lessons carry no registration fee.
The registration fee covers your course book, which is yours to keep, all classroom materials for the whole course, and a tester lesson before term begins. It secures your place on the course.
The registration fee is non-refundable once we have provided those things. You confirm that you understand this by ticking the box on the Secure Your Slot page before anything is set up. Section 9 explains how this sits with your right to change your mind in the first fourteen days.
The registration fee is taken by Direct Debit through GoCardless when you enrol. You set up the Direct Debit on the Secure Your Slot page, and your place is held from the moment it is set up. We collect the fee about a week later, and GoCardless emails you the date before anything is taken.
If you already study with us and join a second course, contact us before you enrol and we will add the course to your existing Direct Debit without a second registration fee.
5. Online lessons
Online lessons are one to one over video and are paid for by the lesson at the price shown on the Pricing page. There is no registration fee.
When you enrol on online lessons you commit to a minimum of four lessons, and we collect the amount for those first lessons by Direct Debit about a week after you set it up. The Survival Guide for Travel course is a package of eight sessions, collected the same way. After that first collection you book a call with us and we agree your lessons together. Later lessons are collected on the same Direct Debit, and we always tell you the amount and the date first.
If you decide not to continue after that call, we refund the lessons you have not taken and charge only for the ones you have. The same applies to the Survival Guide for Travel sessions.
6. Monthly plans and commitments
In-person courses are paid monthly by Direct Debit at the price shown on the Pricing page. Each plan carries a commitment:
- Standard Track: eleven monthly payments.
- Fast-Track: six monthly payments.
- Advanced Speaking Club: three monthly payments.
- Exam Preparation: a three-month minimum, then monthly up to the date of your exam.
Your monthly plan starts after your tester lesson, on the Direct Debit you set up when you enrolled. You do not fill anything in again. We tell you the monthly amount, the number of payments and the day of the month it is collected before the plan starts, and GoCardless emails you before each payment. The plan stops by itself after the last payment. For Exam Preparation we agree the number of months with you before the plan starts.
Every price on the website includes VAT. The amount you see is the amount you pay, and nothing is added at checkout.
7. Paying by Direct Debit
Our Direct Debits are collected by GoCardless Ltd, a payment company regulated in the United Kingdom. You type your bank details into GoCardless’s own form on our website, or on GoCardless’s own page. We never see or store your bank details. On your bank statement the payments appear under GoCardless.
Direct Debits work with UK current accounts. A savings account cannot take a Direct Debit.
The Direct Debit Guarantee. This Guarantee is offered by all banks and building societies that accept instructions to pay Direct Debits. If there are any changes to the amount, date or frequency of your Direct Debit, GoCardless Ltd will notify you three working days in advance of your account being debited, or as otherwise agreed. If you request GoCardless Ltd to collect a payment, confirmation of the amount and date will be given to you at the time of the request. If an error is made in the payment of your Direct Debit, by GoCardless Ltd or your bank or building society, you are entitled to a full and immediate refund of the amount paid from your bank or building society. If you receive a refund you are not entitled to, you must pay it back when GoCardless Ltd asks you to. You can cancel a Direct Debit at any time by simply contacting your bank or building society. Written confirmation may be required. Please also notify us.
8. If a payment fails, or a Direct Debit is cancelled
If your bank does not make a payment, GoCardless emails you to say so and tries once more a few working days later. There is no charge from us for a failed payment. If the second attempt does not go through either, we will contact you to arrange it, and the amount stays due.
If you cancel your Direct Debit at your bank during a commitment, your place on the course is not automatically given up, but no further payments can be collected until a Direct Debit is set up again. We will contact you. You can set the Direct Debit up again from the link in our email, and nothing already paid is taken twice.
If you need to leave an in-person course before the end of your commitment, tell us in writing at hola@holasa.co.uk. One month’s notice ends the commitment: the payments due up to the end of that month stay due, and the payments after it are cancelled. We would always rather talk first, and if something has changed for you we will look at what we can do.
9. Changing your mind within fourteen days
When you enrol online, by email or by phone, the law gives you fourteen days from enrolling to change your mind. Within those fourteen days we refund what you have paid for anything we have not yet provided.
Two things follow from that, and we would rather be plain about them:
- If you ask us to start before the fourteen days are up and you then cancel, you pay for what you have had. A tester lesson or a first block of lessons taken inside those fourteen days is chargeable.
- The registration fee covers your course book, your classroom materials and your place. Where we have already provided those, the fee is not refunded. Where we have not, tell us inside the fourteen days and we will refund it.
To cancel, email hola@holasa.co.uk with your reference and we will confirm it and refund what is due within fourteen days of agreeing it.
10. Missed lessons
In-person courses. Live attendance is what makes the format work. For a rare missed class you will be given temporary access to a recorded lesson, so you can review the material and stay on track for your next live session. A missed in-person lesson is not refunded or rescheduled.
Online lessons. If an unavoidable emergency or conflict arises, you can easily reschedule your lesson provided you let us know at least 24 hours in advance. To respect our teachers’ schedules, we cannot rebook or refund lessons cancelled with less than 24 hours’ notice.
11. Groups and levels
In-person groups are kept small, with a maximum of six students, so everyone gets real speaking practice. Our groups run at Beginner A1, Elementary A2 and Intermediate B1, with an Advanced Speaking Club for B2 to C2. If you are not sure of your level, we take a level test with you before you join; there is nothing to revise for.
Now and then a group does not reach enough students to run, or a level test shows that a different group would suit you better. In either case we offer you a place in another group at the right level, and if there is no group that suits you we refund your registration fee in full.
12. Booking your level test or tester lesson
You pick a time for your level test or tester lesson on our website. The calendar and the booking are provided by Calendly LLC, a company in the United States. To make the booking we send Calendly your name, your email address, your time zone, the course you chose and your reference, and Calendly emails you the invitation, which may carry a Google Meet link. Calendly’s own terms and privacy policy apply to that email and to any change you make through it. Our Privacy Policy explains the safeguards that apply when your information leaves the UK.
We confirm where an in-person tester lesson takes place when we send the invitation.
13. Changes by us
We may change a lesson time, a teacher or a room where we need to. For a change to a regular lesson time we give you at least a week’s notice wherever we can, and where we cannot we will tell you as soon as we know. If we cancel a lesson, we give you a replacement lesson at no extra cost.
14. Behaviour and materials
Course books and materials are provided for the student’s own study. Lesson recordings, where we share them, are for the student who missed the lesson and are not to be copied or shared. We may ask a student to leave a lesson, or a course, where their behaviour makes it impossible for the group to learn. If we ask a student to leave a course, we refund the lessons paid for and not yet taken. The registration fee is not refunded.
15. Our responsibility to you
We teach with reasonable care and skill. We are not responsible for a loss we could not have foreseen, or for a loss caused by something outside our control, such as a power cut or a problem with a video call service. Nothing in these terms limits our responsibility where the law does not allow it to be limited.
16. Complaints
If something has gone wrong, tell us at hola@holasa.co.uk or on 07307 120259 and we will put it right where we can. If we cannot resolve it between us, you can take the matter to court, as section 17 explains.
17. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales will deal with any dispute about them. If you live elsewhere in the UK you may also be entitled to bring a claim in the courts of your own country.
